Who provides this guide
AfricaCTN LLC provides AfricaCTN ECTN Guide, an information-only ChatGPT plugin. This notice covers the guide and its read-only service hosted through Sites. It does not cover AfricaCTN’s separate application-submission integrations. For privacy questions, contact info@africactn.com.
Your conversation and the tool requests
You enter questions in ChatGPT. OpenAI processes your conversation under its applicable policies and your account settings. ChatGPT may use context such as destination, discharge port, cargo type or relevant dates to explain the guidance.
When ChatGPT calls this plugin, our hosted service receives the selected tool name and its arguments: a country identifier, such as “cameroon”, a reference category, such as “general”, or no arguments when listing countries. Requests also contain technical information needed to process and return the response, such as a request identifier and connection metadata. These values are used to retrieve the requested public guidance.
The tools do not request a full conversation, customer email, bill of lading number, shipping document or payment details. They do not offer file uploads or create applications, customer records, support tickets or shipment histories. Only documented tool arguments are accepted. Information you choose to put into a tool argument would still be transmitted, even if the service rejects it; do not include personal or confidential information.
Public access and hosting
The public knowledge tools require no sign-in, account connection, API key or AfricaCTN account. The service accepts anonymous requests through a public API hosted on Sites. If a visitor separately uses an authenticated Sites session, the hosting platform may provide identity headers; the guide’s application code does not read or save those fields or use them to create an account. Using ChatGPT itself remains subject to OpenAI’s account requirements and policies.
OpenAI/Sites and the underlying hosting infrastructure, including Cloudflare, process requests to operate, secure and troubleshoot the service. They may process technical information such as IP addresses, timestamps, request details and diagnostic logs. AfricaCTN can access available operational logs when diagnosing service problems. The guide does not add an advertising tracker, analytics service or a database of questions or users.
Retrieving public guidance from GitHub
The service reads public files from AfricaCTN’s GitHub knowledge base. It sends repository, revision and file-path requests to GitHub; it does not forward chat transcripts, authentication headers or shipping documents to GitHub. Responses include the source link, revision and retrieval information so ChatGPT can cite the material used.
Successful public-source responses may be reused from a memory or hosting cache for up to five minutes. This cache contains public guidance, not a stored history of your questions. If retrieval fails after cached information expires, the service reports that current guidance could not be retrieved.
Retention and deletion
The guide’s application code processes tool arguments to respond to the request and does not save them in a persistent application database or deliberately write them to application logs. ChatGPT conversation records, any provider account records and infrastructure logs are separate from the public-source cache. Their retention and deletion are governed by the relevant providers’ applicable policies, service terms and account controls; the five-minute cache period is not a promise to delete those records after five minutes.
AfricaCTN keeps support correspondence sent directly to it until the sender requests deletion. To request deletion of your message, email info@africactn.com and identify the correspondence you want deleted.
Website visits, support and your choices
If you visit africactn.com or contact AfricaCTN separately, that interaction is covered by AfricaCTN’s website privacy policy and the applicable support arrangements. The guide does not automatically send a support message on your behalf.
Use ChatGPT’s controls to manage conversations and plugin access. Removing the plugin does not itself delete ChatGPT records, provider logs or correspondence you separately sent to AfricaCTN. Provide only the context needed for guidance, and keep passwords, payment details, full shipping documents and unnecessary personal identifiers out of tool requests.
